Transition from Grants Online

LA Apply is Legal Aid NSW’s new grants management system, designed to replace the current system, Grants Online. It offers the same core functions as the existing system, with a modern and efficient digital experience.

From 1 June 2026, all Civil Law grants will be managed through LA Apply. Further information and training resources will be provided ahead of launch to support the transition.

During the transition to LA Apply, the existing Grants Online system will continue to operate for Family and Crime matters and for any Duty Solicitor claims. A Grants Online password will still be required to access these law types.

Phased approach to introducing LA Apply

LA Apply will be introduced through a phased approach to ensure a smooth transition for all users. The June 2026 release focuses on civil law (including mental health case work), with all civil grant applications moving into the new system.

Other practice areas, including family and crime, will transition to LA Apply in later phases. In the meantime, Family Law, Crime and all duty matters, including mental health duty work, will continue to be managed in Grants Online.

This phased approach supports responsible introduction of the new system, minimises disruption and ensures that each area receives appropriate support when the time comes.

About LA Apply

The new system replaces the current Grants Online system with a modern layout and guided application steps that adjust based on the matter type, making it easier to enter information and review client details. Administrators will also benefit from a refreshed claims process, where pro‑forma invoices, claim creation and claim submissions can be completed in a more straightforward and organised way.

Access to LA Apply is designed to be simple and secure. Users do not need a separate LA Apply username or password. They sign in using their usual work email and password, which is the same login they use to access their computer and other work systems. The new login method supports stronger protection of client information while maintaining a straightforward user experience. It provides secure access to the system without compromising convenience.

The sign-in process is similar to the Legal Aid Learning Management System (LMS). When a user is signed in with an organisation’s credentials, a multifactor authentication prompt is sent to verify identity before access is granted.

  • Pages and questions adjust based on the type of matter, so you only see what you need.
  • Client details can be looked up or entered quickly, with information filled in automatically where available.

  • Matter details, financial information and supporting questions are presented through guided screens.
  • Centrelink checks can be completed and verified in real-time, within the system where the client provides consent.

  • Some applications that meet all requirements will be approved automatically.
  • Others will be reviewed by the Legal Aid Grants Team, with updates provided through the system.

  • Only solicitors can certify applications.
  • Standard scope clauses appear automatically.

  • LA Apply provides an improved experience for administrators when managing claims.
  • Administrators can access proforma invoices, prepare claims and submit them, through a clearer and more organised interface.

Support for civil law practitioners before launch

To support civil law practitioners in preparing for the transition to LA Apply, support will be offered from mid-May. This will include introductory information about the new system, along with facilitated sessions designed to walk through key features and the application process.

In addition to these sessions, a range of support materials will be available on the website and through the Legal Aid NSW Learning Management System (LMS), providing access to guidance, demonstrations and other resources as needed. More details on training dates and materials will be shared closer to the launch.
